Privacy Policy

Draft for legal review. This document describes how MunoSpace currently works and may change before final approval.

1. 1. Who we are

   MunoSpace is an AI-assisted business operations platform. It provides branded tenant websites, a staff admin, customer portals and lead or contact forms for small and medium businesses. MunoSpace is the operator and project name; the operator is based in Belgium.

2. 2. Who this policy applies to

   This policy applies to visitors of the MunoSpace marketing site, people who contact us, and staff users of businesses (tenants) that use the platform. Platform users must be adults or otherwise have the legal capacity to enter into agreements; we do not knowingly collect data from children.

3. 3. Personal data we process

   Depending on how you interact with MunoSpace, we process:

   • Contact and lead form data: name, email address, phone number, company, website address, business type, country and the message you write.
   • Account data for staff users: name, email address, role and sign-in information needed to secure access.
   • Consent records: an anonymous visitor identifier, your cookie choices, the consent version and the site they were recorded on.
   • Technical and security data: request logs, IP address and device information needed to run and protect the service, and bot-protection signals on forms.
   • Usage statistics, only if you accept optional analytics or marketing consent.

4. 4. Why we process it and on what basis

   We process personal data to answer your enquiries and prepare a proposal (pre-contract steps), to provide and secure the platform under our subscription terms (contract and legitimate interests), to comply with legal obligations, and to measure and improve the service. Optional analytics and marketing measurement rely on your consent, which you can withdraw at any time.

5. 5. Tenant websites, portals and forms

   Each business using MunoSpace publishes its own branded website and may offer customer portals and request forms. Data that a visitor submits on a tenant website is processed for that tenant's request and is used by the tenant and its authorised staff. In that case the tenant decides why the data is used, and MunoSpace processes it on the tenant's behalf to run the platform. Please contact the tenant first for requests about data submitted on its site; we will help the tenant respond.

6. 6. AI-assisted features

   AI-assisted features process the business content that a tenant provides in order to perform the requested operation, such as drafting a reply or organising a request. Outputs can be inaccurate and are meant to be reviewed by staff. The AI providers involved are confirmed during legal review and will be named in this policy before AI features process personal data in production.

7. 7. Service providers and hosting

   We use infrastructure and service providers to operate MunoSpace:

   • Supabase for the database, authentication and file storage.
   • Google Cloud (Cloud Run, Cloud CDN and load balancing) to host and deliver the sites, in the Frankfurt region.
   • Cloudflare Turnstile to protect forms from automated abuse.
   • Google Analytics, loaded only after you accept statistics consent.

8. 8. Subscriptions and payments

   Access to the platform and its AI environments is offered as a subscription. MunoSpace does not store payment-card details. Where payments are collected, they are handled by a payment provider, and we only receive the information needed to manage your subscription and invoices.

9. 9. International transfers

   Some providers may process data outside the European Economic Area. Where this happens we rely on appropriate safeguards required by law, such as standard contractual clauses.

10. 10. How long we keep data

    We keep personal data only as long as needed for the purpose it was collected, to meet legal obligations, or to establish and defend legal claims. Consent records are kept as evidence of your choices. Fixed retention periods are confirmed during legal review.

11. 11. Your rights

    Under data protection law you may request access to your data, correction, deletion, restriction, portability, and object to certain processing. You may withdraw consent at any time through the cookie preferences link in the footer. To exercise a right, write to info@munospace.com. You also have the right to lodge a complaint with the Belgian Data Protection Authority.

12. 12. Changes to this policy

    We may update this policy as the platform evolves. The date at the top of the page shows the latest edit.
